Key modules

INTERNATIONAL FRAMEWORKS

Your records are structured around maritime’s core requirements.

  • STCW
  • MLC 2006
  • ISM Code
  • MARPOL Annex VI
  • IMO DCS
  • EU MRV
  • CII

Pelastra is not a certification body; it helps you keep records in line with these requirements and stay ready for inspection.

WHY PELASTRA

One shared record for ship and office instead of scattered spreadsheets.

Today

  • Document dates tracked across separate Excel files
  • Forms and reports lost in email threads
  • Rotation decisions made over phone calls and notes
  • Collecting records before an inspection takes days

With Pelastra

  • One record: everyone sees the same current data
  • Records entered on board are reviewed and approved ashore
  • Rotation is planned with document and training checks
  • Records are ready and traceable when the inspector arrives

PRODUCT

Three areas, one platform.

Pelastra is organised into the same three areas as the company panel menu. Every user sees the screens their role allows.

Put the right person on board, with the right documents, at the right time.

Your workforce, documents and training requirements live in the same record as the rotation plan. Gaps become visible before an assignment is approved.

Crew

  • Sea and shore staff in one roster
  • Document matrix and expiry alerts
  • Training and competency matrix
  • Monthly appraisals
  • Personnel calendar and leave records

Crew wages

  • Wage agreements and scales
  • Monthly wage runs and payslips
  • Vessel cash expenses
  • Bank statement matching

Data shown in the screens is illustrative.

Rotation

1Drag-and-drop planning

Shift an assignment on the timeline or move it to another vessel; preview the impact, apply on approval.

2Candidate suggestions

Available candidates with valid documents are ranked for each open position.

3Rest period rule

Warns before approval when the rest between contracts gets too short.

4Training and document checks

Approval stops, or requires a reasoned override, when a mandatory certificate is missing.

5Crew change view

Who signs off, who joins and whether they are ready — per port call.

6Pre-joining

Joining and sign-off checklists with owners and due dates.

7Joining pack

Instructions, port notes, agent details and documents on the seafarer’s phone.

8Ticket quote tracking

Compare agency quotes on one screen and select; follow refunds and invoices.

SHIP ↔ OFFICE

Records are captured on board even without internet.

The vessel app runs in the browser and can be added to the home screen. Records are entered without waiting for a connection and reach the office in order once it returns.

  1. 01

    Recorded on board

An officer or rating enters the record on a phone or tablet; it waits on the device, encrypted.

  2. 02

    Sent when connected

Records are delivered in the order they were written; large files resume where they left off.

  3. 03

    Reviewed and approved ashore

Incoming forms, reports and requisitions land in the right team’s queue; decisions flow back to the ship.

  4. 04

    Fleet overview updated

Overdue records, expiring documents and open work are prioritised in one list.

Records that work offline

  • Work and rest hours
  • Safety forms
  • Incident reports
  • Maintenance work orders
  • Vessel reports
  • Purchase requisitions
  • Stock movements

FAQ

Frequently asked questions

What is Pelastra?

Pelastra is a web-based operations platform where maritime companies manage crew and rotation, fleet operations and safety processes, and seafarers manage their documents, sea service and CVs — all on the same platform.

Does it work on board without internet?

Yes. The vessel app runs in the browser and can be added to the home screen. Work and rest hours, safety forms, incident reports, maintenance work orders and vessel reports are stored encrypted on the device while offline and reach the office in the order they were written once a connection returns.

Which modules are available?

Crew and Rotation (personnel, document, training and competency matrices, rotation, crew change, pre-joining, ticket tracking, crew wages), Fleet and Operations (planned maintenance, procurement and stock, vessel reports, itinerary, emissions reporting, commercial operations, document centre) and Safety and Compliance (ISM records, safety forms, incidents, NCRs and audits, work and rest hours).

Can we import our existing data?

Equipment trees, maintenance jobs, the spare parts catalogue and training rules can be imported in bulk with Excel (xlsx) templates. Imports are validated first; if any row has an error, nothing is written and all errors are listed together.

How do we control who sees what?

Panel users are assigned roles, which can apply company-wide or be limited to selected vessels. Sensitive fields such as identity and document numbers are hidden from users without permission, and every change is kept in the activity log with who and when.

How do seafarers use Pelastra?

Seafarers manage their documents, sea service and CVs with a free account. If their company uses Pelastra, they also see their on-board records, joining packs and payslips from the same account.
