CREW MANAGEMENT
Crew management and rotation planning in one record.
Your roster, document and training requirements, rotation plan and crew changes share the same data. Missing documents, short rest periods and conflicting plans show up before an assignment is approved.
THE PROBLEM
Sound familiar?
- The rotation plan lives in one spreadsheet, documents in another
- An officer with an expiring certificate gets planned on board
- On crew change day, readiness is checked by phone
- Ticket quotes are compared across email threads
CAPABILITIES
From roster to crew change
Crew roster
Sea and shore staff in one list, with assignment history, contact details and availability.
Document matrix
A person × document grid; expired and expiring documents are colour-coded, alert thresholds set company-wide. Excel and PDF export.
Training and competency matrix
Mandatory certificate rules by rank and vessel type; an STCW-based starter template and competency assessments.
Drag-and-drop rotation
Shift an assignment on the timeline or move it to another vessel; the impact is previewed and applied on approval.
Candidates and checks
Suitable candidates are ranked for open positions; rest periods, conflicts and training gaps are flagged before approval.
Crew change and joining
Sign-on/sign-off per port call, pre-joining checklists, joining packs and ticket quote tracking.
Data shown in the screens is illustrative.
PROCESS
How it works
- 01
Add your roster and documents
Enter personnel records and document dates; start training rules from the starter template.
- 02
Plan the rotation
Place positions on the timeline by vessel and rank and pick from suggested candidates.
- 03
Approve and reach the seafarer
Checks run on approval; seafarers see their assignment and joining pack in their own account.

FAQ
Frequently asked questions
Is the rotation plan linked to document expiry?
Yes. On approval, anyone missing a mandatory certificate or whose document expires before sign-off is flagged; depending on the training rule, approval stops or requires a written reason.
Is crew change a separate record?
No. The crew change view is read from the rotation plan and the vessel itinerary, showing who signs on and off per port call and whether they are ready.
Are preparing and approving the same permission?
No. They are separate permissions: the crewing officer prepares the plan, the crew manager approves it. Roles can be limited to selected vessels.
What do seafarers see?
Their confirmed assignments, joining packs, calendar and, if their company uses it, payslips. Appraisals and internal notes are never shown to the seafarer.
