TOWAGE OPERATIONS

From the maneuver record to the invoice, towage in one record.

The tug master records the service on a tablet, collects signatures and submits; the office applies the tariff to the same record, issues the suggested invoice and follows collection. Agents and shipowners see their own maneuvers and invoices in a portal that needs no account.

THE PROBLEM

Sound familiar?

  • Maneuver forms on paper; invoices typed up days later
  • Which tug served which ship for how many hours is totalled at month end
  • After a tariff change, nobody knows which tariff an old invoice used
  • Agents call to ask which invoice they paid and what their balance is

CAPABILITIES

From the master to accounting

1

Maneuver record (master)

Ship served, service type, port and berth, start and end in port local time, crew, fuel, waiting and damage; PDF preview, then submit. Works without a connection.

2

Signature evidence

The ship’s master, pilot or agent signs on the tug master’s tablet; a signed service form can be uploaded too. Records without signature evidence are filtered in the office.

3

Service requests and planning

The office or the customer opens a request, the office assigns a tug; overlapping assignments warn. The master opens the assigned job with a pre-filled form.

4

Versioned tariffs

GT tier × number of tugs, hourly services and ship-caused waiting; customer- or port-specific tariffs. The tariff version used in an invoice is locked.

5

Invoices and collection

Invoice suggestion from maneuver records → draft → issue → collection; due dates, local-currency equivalent and accounting export (xlsx/csv). Invoice PDF.

6

Reports and customer portal

Service summary, revenue, receivables ageing and tug × month profitability. Agents and shipowners reach their own records and balance with an e-mail and a one-time code.

PROCESS

How it works

  1. 01

    Define tariffs and customers

Upload GT tiers from xlsx, enter each tug’s bollard pull, open customer cards and grant portal access.

  2. 02

    The master records the job

A service request is assigned to a tug; the master records the maneuver on a tablet, collects the signature and submits. Damage opens a safety record automatically.

  3. 03

    Issue the invoice, follow collection

Check and issue the suggested invoice; record payments and follow receivables and profitability month by month.

FAQ

Frequently asked questions

Can the office correct a maneuver record?

No. The record belongs to the master; the office can void it with a reason and enter a new record on the master’s behalf. A record that is already invoiced cannot be voided, so the basis of an invoice never changes afterwards.

Can records be entered without internet on board?

Yes. Records, signatures and voids wait on the device and are sent in order when the connection returns. PDF preview and uploading a signed form need a connection.

What happens with a damaged maneuver?

The master selects the severity: minor damage becomes a hazardous occurrence, serious damage an accident in the safety records, with an urgent notification to the DPA. The customer portal and the invoice PDF do not show this information.

Does the invoice replace the official invoice?

No. Pelastra produces a tax-free service invoice and an accounting export; the official e-invoice is issued from your accounting system. There is no payment collection or e-invoice integration.

Do our customers need a Pelastra account?

No. The portal opens with an e-mail address and a one-time code. A shipowner that uses Pelastra can also link the records to its own panel with a linking code.

Are different currencies added together?

No. Invoices, balances and reports are shown per currency; there is no currency conversion. When an invoice is issued, the local-currency equivalent is frozen at that day’s rate.
