SAFETY MANAGEMENT SYSTEM
ISM and safety records, from ship to office in one system.
ISM records, checklists, drills, incident and near-miss reports, non-conformities and audits in one place. The ship completes them, the office reviews them, and compliance is visible fleet-wide on one board.
THE PROBLEM
Sound familiar?
- Forms are filled in on paper, scanned and emailed
- Missing records only surface right before an inspection
- Nobody can tell whether corrective actions were closed
- Near misses go unreported for fear of being named
CAPABILITIES
Every safety record
ISM records and compliance board
Periodic or event-based record types; a vessel × period board shows missing and late records.
Safety forms
Checklists, permits to work and drill forms; versioned templates, multilingual content and a starter catalogue.
Incidents and near misses
Anyone on board can report; near misses and hazards can be reported anonymously. The office classifies, investigates and closes.
NCRs and corrective actions
Non-conformities, root cause, corrective actions and verification; open an NCR from an audit finding in one step.
Audits
Internal audits, PSC, flag and vetting records; annual audit schedule and finding tracking.
Safety observation cards
Safe or unsafe acts and conditions, kept separate from incident statistics.
Data shown in the screens is illustrative.
PROCESS
How it works
- 01
Set up record types and forms
Adapt forms from the starter catalogue and define ISM record types with their periods.
- 02
Complete on board
Officers fill forms on a phone or tablet, with photos and signatures — no internet needed.
- 03
Review ashore
Incoming records are accepted or returned with a reason; the compliance board updates.
WHO IT’S FOR
Who uses it?
HSQE / DPA
Form templates, reviews, incident and NCR management.
Master and officers
Checklists, drills and audit records.
All crew
Incident, near-miss and observation reports — anonymous if needed.
FAQ
Frequently asked questions
Can we build our own forms?
Yes. You define sections and fields in the form editor; a published version never changes and edits go into a new version. Starter catalogue forms are added as drafts and can be adapted.
Is anonymous reporting really anonymous?
For anonymous near-miss and hazard reports, the reporter’s identity is never stored on the server and the report time is rounded to the day.
How do we show records to an inspector?
Records are listed by vessel and period; accepted forms are shown in the version they were completed with. Hours of rest export to Excel in the IMO/ILO format.
Does Pelastra provide an SMS manual?
No. Pelastra helps you keep the records of your own safety management system. The starter form catalogue is a starting set, not a regulatory checklist.
